Studio Policies

Membership Tuition:

  1. Payment is due prior to your first class via credit card through the student portal.
  2. Tuition is a monthly fee. Most months have four (4) or five (5) lessons, and on rare occasions, three (3) lessons when a lesson day lands on a holiday or break.
  3. Tuition is due on the first of each month and is billed automatically via credit card.
  4. Included in the membership:
    • Regular weekly lesson time with your teacher. (Except when the studio is closed for holidays. See our calendar).
    • Two (2) yearly recital performance opportunities at no additional cost (Winter and Summer Recitals, on a first come first serve basis. Accompaniments are included in membership).
  5. Educational material, music books, instrument rental and other accessories are additional costs that we will bill accordingly with your permission.
  6. Members may purchase additional exam or recital preparation lessons.

Membership Cancellation: 

  1. Membership may be cancelled by emailing our team directly at [email protected]
    • Cancellation Form must be received prior to your final month of lessons.
      • If you would like for February to be your final month of lessons, we must receive notice before February 1.
    • There are no exceptions.
  2. Active membership is mandatory to participate in our events, exams and recitals. All registration(s) will be withdrawn at the time of membership cancellation.
  3. All Make-up Lesson Credit(s) on your account expires in 30 days from the cancellation effective date.
  4. Whole Tone Music does not provide tuition refund under any circumstances.
  5. Whole Tone Music reserves the right to terminate membership, in which case prorated tuition will be refunded.

Attendance:

  1. Students are expected to commit to attending their lessons regularly on a weekly basis.
  2. Time missed due to lateness will be forfeited.

Missed Lessons:

  1. No tuition credit or refund will be provided for missed lessons.
  2. A Make-up Lesson Credit will be issued when a lesson is cancelled with at least 24-hour advance notice (By email or online).
    • Cancellations made with less than 24-hour notice will not qualify for a Make-up Lesson Credit (This includes being sick the day of a scheduled lesson).
    • No more than two (2) Make-up Lesson Credits can be pending at a time per membership.
    • Make-up Lessons cannot be rescheduled.
    • Make-up Lesson Credit(s) expires 30 days after membership ends.
  3. Should an instructor have to cancel, a substitute will be offered whenever possible. If a substitute cannot be arranged, your instructor will make up your lesson at the soonest convenience.
  4. Lessons missed due to school closures for inclement weather or similar events will be made up at the earliest convenience. You will be notified the morning of a school closure if this is the case. Our first course of action is to move lessons online, but if this is not possible, we will offer an extra make up lesson.
    • Please note that our school closures do not always coincide with the school board’s closures.

 

Summer (July, August):

  1. You may exceptionally put a membership on “Summer Hold” for up to two (2) months with a 14-day notice before July 2, 2024.
    • Students not continuing over the summer must leave a deposit for their September payment to have their weekly lesson slot with the same teacher reserved. This deposit is due by July 9, 2024. Lesson slots not reserved will open up on July 10, 2024.
  2. Students who commit to a minimum of 4 lessons over the summer will have their lesson slot with the same teacher reserved for the fall.
  3. While on summer hold, students may exceptionally purchase individual lessons at their regular lesson rate.

Care of Students:

Whole Tone Music is not responsible for providing before or after class care for students.

Injuries:

You assume all risk of injury or harm to the child(ren) or adult(s) associated with participation in musical activities at Whole Tone Music and agree to release, indemnify, defend and forever discharge Whole Tone Music and its officers and staff from all liability, claims, demands, damages, costs, and expenses in the unlikely event of injury sustained by your child(ren) or adult student during the course or as a result of their participation in Whole Tone musical activities.

Photo/Video Release: 

Unless requested in writing, Whole Tone Music is granted permission to take photographs/videos of the students to use in brochures, websites, posters, advertisements, and other promotional materials Whole Tone Music creates.
